AI HR AssistantPolicy answers, grounded in your documents
Every policy answer, in seconds.
AI HR Assistant answers employee questions from your company’s own policies, shows where the answer came from, and knows when to say “ask HR.”
- Answers from your documents
- Every answer names its source
- Sends what it cannot answer to HR
AI HR Assistant
How much notice do I need to give before taking annual leave?
Annual leave should be requested at least two weeks before the first day of leave, and your line manager approves it. Requests inside that window are handled case by case.
Leave and Time Off Policy
Section 2.1, Requesting leave
Employee Handbook
Section 6, Manager approvals
Interface illustration. The assistant answers only from documents an administrator has trained.
How it works
Ask. Answer. Source.
One question, answered from a policy document, with the document named. That is the whole loop.
01The question
An employee asks in their own words. No form, no policy number, no search syntax.
02The answer
The assistant answers from the policy documents it has been trained on.
03The source
Sources used opens to name the document behind the answer, so the wording can be read first-hand.
Source-backed.

Trust
It knows what it knows.
An assistant that confidently invents an HR answer is worse than no assistant. This one is built the other way round.
Your documents
Answers are grounded in the policy documents your organization provides, not in general knowledge from the open web.
Named sources
Every answer can show the policy it came from, so an employee can read the original wording themselves.
Knows when to stop
When the policy does not cover a question, the assistant says so and points the employee to HR instead of guessing.
If the policy doesn’t cover it, it doesn’t guess.
An out-of-scope question gets a plain answer about scope, not an invented one. The employee is sent to the people who can actually answer it.
AI HR Assistant
What will my bonus be this year?
I do not have anything about individual bonus amounts in the documents I have been trained on. Please contact HR directly for this one.
Narrow by design.
Not an HRIS. Not payroll. Not recruiting. Not employee analytics. One job, done clearly.
The same question, without the detour.
Before
- Search a handbook you half remember
- Ask HR and wait for a reply
- Ask a colleague and hope they are current
- Act on an answer that changed last quarter
After
- Ask naturally.
- Get a policy answer.
- See the source.
Training Centre
Teach it your policies.
HR adds the documents and rules employees actually need. The assistant works from that knowledge instead of improvising answers.
Document
A policy document is uploaded in the Training Centre.
Training
Its content is processed into the assistant’s knowledge.
Knowledge source
It appears as a trained source, and answers can cite it.
Trained sources
5- Employee HandbookTrained
- Leave and Time Off PolicyTrained
- Code of ConductTrained
- Remote Work PolicyTrained
- Expense and Travel PolicyTrained
What the assistant knows. Anything not on this list, it will not answer from.
Policy changes
Change the policy. The old answer disappears with it.
Repeated questions can be returned instantly from an answer the assistant already worked out. When the document behind them is retrained, those remembered answers are cleared, so nobody keeps receiving last quarter’s rule.
01Policy updated
HR retrains the document in the Training Centre.
02Knowledge refreshed
The new wording replaces the old in the assistant’s knowledge.
03Remembered answer cleared
The cached answer tied to that policy is dropped.
04New answer
The next employee to ask gets the current rule.
Two weeks’ notice, approved by your line manager.
Three weeks’ notice for leave longer than five days.
Administration
HR stays in control.
Know what the assistant has been trained on, manage who can reach the admin side, and see operational activity when something goes wrong.
Trained sources
Every document the assistant can answer from, with the option to remove one and take it out of scope.
Users and access
Employee and administrator access are separate. Training and configuration sit behind the admin side.
Operational logs
A record of system activity, for working out what happened when something fails. Not an analytics product, and not a way to profile employees.
